The everyday problem
A team may acquire another tool to solve a problem already addressed somewhere in its current stack. The gap may be access, configuration, training, or a disconnected handoff. An inventory helps distinguish missing capability from capability that is present but difficult to use.
A practical approach
List each system, its owner, the information it stores, and the tasks it supports. Mark duplicate capabilities and manual transfers. Use that map to define the actual gap before comparing new platforms or planning a replacement.
Try this with your team
Map three frequently used systems and the information copied between them. Identify one transfer that creates avoidable re-entry or ambiguity.
